Terms for schools & nurseries

The short version: Your invoice comes with the confirmation and is payable any time up to 7 days after the visit - in advance, on the day, or the week after. We can put a PO number on the invoice if your office needs one.

These are the terms for schools, nurseries, pre-schools, clubs, councils and any other organisation paying against an invoice. Parents booking a private party have their own terms, because those are paid for in advance.

Paying

  • Your invoice is raised as soon as the booking is confirmed, so it is with you — and with your finance office — straight away. Nothing has to be paid at that point.
  • Pay it whenever suits you: in advance, on the day, or any time up to 7 days after the visit.
  • Bank transfer is easiest and the details are on the invoice — please quote your booking reference so we can match it up. Cash on the day works too if that suits you better; we will receipt it there and then.
  • We are not VAT registered, so no VAT is charged and there is none to reclaim. The invoice total is the whole amount.
  • If your office needs a purchase order number on the invoice, tell us and we will add it.
  • If you need a risk assessment for your records, ask and we will send one over.

There is no card payment, no payment hold and nothing to pay before the visit — so none of the deposit or cash-on-the-day arrangements on the private terms apply to you.

Moving and cancelling

  • A weekday visit can be moved or cancelled free with 48 hours' notice. INSET days, closures and outbreaks happen, and we would rather move a date than argue about one. Cancel in that window and the invoice is cancelled with it.
  • Inside 48 hours we will always try to move it first. We only hold you to the invoice for a visit that late-cancelled if we could not fill the slot and could not rearrange it.
  • A weekend date is different: it is a slot we would otherwise sell to a private party, so the 48-hour window above does not apply to one. If a weekend date has to move, tell us as early as you can and we will do what we can with it.

There is nothing to refund, because nothing has been paid — the question is only whether a visit gets invoiced.

Photos

  • We take a few photographs at each visit — the room, the lighting, sometimes the school sign — for our own diary and social media. Never of children, in any shot, under any circumstances.

The music

  • Clean edits only, always. Nothing goes on that we would not be happy playing in front of a head teacher.
  • You can send a request list, a banned list, or both — there is a box for it on your booking page, and it reaches us with the booking rather than getting lost in a thread.

Your loyalty discount

  • Your first visit in a school year (September to August) is full price, and every one after that gets cheaper automatically: £20 off your second, £30 off your third, then £40 off from your fourth onwards. Nothing already invoiced changes when you book another.
  • Each date is booked, confirmed and invoiced on its own, so asking about several does not commit you to all of them — keep the ones that work and turn the rest down.

Referrals

  • A referral earns £30 once the party booked through your link has actually taken place and been paid for. Nothing is credited when somebody books: a party can still move or be cancelled, and the saving we are passing on does not exist until one has been run and paid for.
  • The credit belongs to you, not to the booking that earned it. It sits against your name and can be spent on any future disco with us, whenever you like — there is no expiry and nothing to claim.
  • Anything left over after an invoice carries to the next one, so nothing is wasted by having more credit than a disco costs.
  • Any number of referrals, and anyone can use the link: a family, another school, a nursery. A nursery or school attached to yours counts too — a separate setting is a separate booking, however closely the two are linked.
  • The one thing it cannot be is your own booking — a link used on a disco of your own earns nothing.
  • We will tell you which invoice we have put it against. If you would rather it went on a different one, say so and we will move it.

Your details

We collect the name, email address and phone number of whoever makes the booking, the name and address of the school or nursery, and the details of the visit itself — purely so we can run the booking and raise the invoice.

We keep your record after the visit, and there are two good reasons for it: booking again takes a couple of taps rather than starting from scratch, and your place in the loyalty discount and any referral credit are both held against it. We keep the invoices too, because our accounts have to.

WHATEVER YOU'RE BOOKING

Insurance and safety

We carry £5 million public liability insurance, and our cover includes the use of our bouncy castle. Plenty of venues and schools ask to see this before they let a party go ahead — download our certificate here.

All our electrical equipment is PAT tested. Mark is a qualified PAT tester, so the lighting, sound and everything else that plugs in gets checked by him directly rather than whenever a third party gets round to it.

Mark has a DBS check, and we're more than happy to share the certificate on request.

What we need from you

Just space and power— a room big enough for the kids to run about in and a normal mains socket. We bring everything else: sound, lighting, props, games and prizes. If you're not sure whether your venue is suitable, send us a photo or the venue name and we'll tell you straight away.

If we have to cancel

We have never cancelled a booking, and we don't intend to start. But if something ever did stop us getting to you — illness, an accident, a vehicle breakdown — you get every penny you have paid us back, whatever the notice, and any invoice is cancelled. We'll also do our best to find you someone else who can cover the date.
